What you need to build it
You need two tools, and both are cheap:
- ManyChat Pro, which starts at $15 a month and supports every platform the chatbot runs on. If you don't have it, go to manychat.com and sign up. You get a 14-day free trial of the Pro version.
- An OpenAI account, which provides very cheap credits and integrates directly with ManyChat. Go to openai.com, log in, and open the API platform.
Create your OpenAI API key
On the OpenAI dashboard, go to API keys and create a new secret key. Don't share it publicly, because anyone who has it can burn through your credits. Name it something like ManyChat V2 and create the key.
Connect OpenAI to ManyChat
In ManyChat, go to integrations and find the ChatGPT integration. Paste the API key, connect your ChatGPT account, and it's done.
How to build the AI chatbot in ManyChat
Once both accounts are connected, I'll give you the link to the two automations you need: the DM trigger and the AI DM Copilot. Copy the template link, paste it into the browser where you're logged into ManyChat, click install, choose the page you're using, and click install now. ManyChat redirects you to your account, and under automation you'll find the folder with the DM trigger and the AI DM Copilot inside.
You only need to touch three areas. Leave the rest of the logic alone, because it's load-bearing:
1. The DM trigger
Set the keyword that launches the chatbot. I'm using YouTube, so every time someone DMs me the keyword YouTube, it triggers the AI DM Copilot. You also choose who the conversation gets assigned to when the AI stops: your DM setter if you have one, or yourself if you run the inbox.
2. The acknowledgement crafter
An acknowledgement is the AI's response to what the lead just said. Open the prompt and you'll see it runs on the GPT-4.1 model, the best of the available selection. The persona is set to me, so swap in your own details and update the keyword. The acknowledgements personalize each reply with the lead's first name, and you can add your own. The logic is simple: if a lead expresses a struggle, the AI replies with something like "I hear you, that's the number one thing most people struggle with." Keep the remarks and output format exactly as they are so the AI follows them, then save.
3. The question generator
This decides what the AI asks next. Customize the persona, keyword, and the qualification questions you want to ask. Mine are:
- Where are you from (the country).
- What motivated you in life to explore online coaching (the motivation).
- Do you already have a brand built (clarity).
To personalize a line to the lead, wrap it in brackets. I put their goal in brackets, so the AI says something like "would you be down to jump on a quick call this week so I can show you how to achieve $10,000 a month" using the exact goal they mentioned earlier. Keep the rules the same and save. The same qualification logic scales to any niche, and I walk through the full funnel in AI appointment setting for coaches.
Set the response delays
Last, set how long the AI waits before replying. I used short delays to keep the video quick, but you can make them as fast or slow as you want. That's the whole build. Nothing else needs changing.
Testing the AI chatbot
Click update to save, then open your phone and start the conversation by sending the keyword. Here is how mine ran:
- AI: "Hey, appreciate you reaching out. Just curious, where are you from?" I said the US.
- AI: "Awesome, I appreciate you sharing that. So, what motivated you in life to explore online coaching?"
- AI: "Do you already have a brand built or do you need help building one?" I said I need help.
- AI: "Your honesty is appreciated, Liam." A custom acknowledgement using my name.
- AI: "Do you see online coaching as something you want to do full-time or more as a side hustle?" Full-time.
- AI: "Can tell you're serious about reaching your goals. How much do you want to be generating moving forward?" Then: "Would you be down to jump on a call this week so I can show you how to achieve that 10K per month goal?"
It customized the proposal to my exact goal, I said yes, and it sent the calendar link to book the call. Once it sends the link it stops responding, because I prompted it to end there. To test again, go to contacts, find your account, and delete the contact to reset.
The safety stop for objections
Run it again and you'll see the other thing this system does well. If you hit the AI with an objection or a question instead of answering the one it asked, it stops on purpose. We don't want the AI pushing leads who resist or have questions. In the live chat back end you'll see it logs "question answered" and "deviation," meaning the lead is trying to steer off the qualification path. That is where the AI stops and assigns the conversation to a human.
The limitations of the basic version
This is the basic version of a system that took me two years to build, and it has real limits. The clearest one is that it repeats answered questions. In my test it asked "what motivated you to explore online coaching," I answered $10,000 a month, and later it asked "how much do you want to be generating moving forward" all over again. Leads hate that. They reply "I already told you," and they get annoyed.

- It tends to break a lot.
- It doesn't handle objections or FAQs.
- It doesn't follow up automatically with your leads.
