Why 90% of DM Setters Will Lose Their Jobs to AI

Will AI replace appointment setters? More than 90% of appointment setters will be replaced by AI in the next coming years, but the skilled 10% who quality control and improve the AI stay irreplaceable. You can already see this happening today. I've worked with multiple coaches where we replaced entire teams of human DM setters with one DM setter and ChatGPT, or whatever AI model we were running. In the video above, I break down the skill sets that keep an appointment setter irreplaceable as of 2026, plus the exact tasks AI should take over so it handles up to 90% of the workflow. This matters whether you're an appointment setter, a business owner, or a sales manager.

Which appointment setters will AI not replace?

Some of the coaches I work with still have their original appointment setters because we could not replace them with AI. They survived for one reason: they grew two skills AI can't take over yet.

  1. Quality control: supervising the AI's chats and spotting the errors it makes.
  2. Data analysis and funnel iteration: reading the numbers and improving the funnel.

Everything below expands on those two skills, then walks through the three tasks you should hand to AI so you stop doing repetitive work. If you want the bigger-picture comparison of where each side wins, ChatGPT vs human appointment setters breaks it down.

Skill one: quality control

Quality control means supervising the chats between your AI or human DM setters and suggesting improvements. The best way to grow it is to go into the DMs yourself and have real conversations with leads, so you know and master the fundamentals of appointment setting.

Here is what quality control looks like in action. In one conversation, the lead says, "Not yet man, I want to make 5K a month but my full-time job is making it harder for me to focus on trading." The lead has already named the struggle, yet the AI asks again: "I hear you. That's a common struggle. So tell me, what's the one thing getting in your way the most right now?"

Because I've done appointment setting for three years, I can see exactly where the error happened. The lead already said their full-time job is making it harder to focus, and then the AI asked what the one thing in their way is. The lead would naturally reply, "As I said, my job." Spotting that repetition before it costs you the lead is quality control.

Why a human setter is still valuable

You are valuable because you understand not just the fundamentals of appointment setting but the entire DM setting setup, the full funnel. That includes:

  • The offer details and pricing structure.
  • How the follow-ups work and how the funnel looks with the DM script, the calendar, the form, and the post-booking nurturing.
  • How the full systems work: the tracking systems, the KPI tracker, the CRM, the end-of-day reports, and the rest of the tech around it.

With that full picture, you can quality control the AI and give it specific improvements in the right places. The AI does have appointment setting knowledge and brilliant communication intelligence, but it still lacks the complete knowledge you hold over the whole setup. So skill one is to spot the errors AI makes and pass that feedback back to the AI with the goal of improving it.

Skill two: data analysis and funnel iteration

The second skill is data analysis and funnel iteration. Because you understand the full funnel, you can give the AI specific feedback to improve it, and that is how you automate more of the work over time.

At the end of the day, AI does not have full control. If I tell it to open Google and search specific things, it can do that, but it cannot go deep and build ManyChat or Instagram automations on its own. We can use it to help us build them, but that is the stage it's at. Maybe in a couple of years that changes, and the shift is already underway, but for now this is exactly why a human is still needed in the DMs. For an honest read on when that human becomes optional, is an AI DM setter worth it after 12 months covers when to retire human setters entirely.

What tasks must you automate with AI?

Having the skills does not make you irreplaceable on its own. To stop doing repetitive work, you need to hand three tasks to AI:

  1. Handling DMs A to Z.
  2. Sending personalized follow-ups.
  3. Data tracking.

Handling DMs A to Z

This is what you should delegate to AI first. The A is the moment a lead opts in, by commenting on a post or reel with a keyword like "ready." The AI steps in, qualifies the lead all the way to a call, and follows up to lock it in. The Z is when they get on the call. That entire process is what AI should cover. For the full build, AI DM automation for coaches walks through it step by step.

Sending personalized follow-ups

As humans, we get lazy. Most coaches I see don't follow up at all, or they send generic nudges like "name?" or "?" or "still there?" That barely works. What you want is AI sending personalized follow-ups based on the chat context.

Say a conversation goes: "Where are you located and what's your goal?" The lead replies, "I'm located in Texas, my goal is to become a full-time trader." Then nothing after 24 hours. You can have AI read the full conversation and craft something like, "Yo John, hopefully the Texan sun didn't melt your phone, haha. Let me know when you got a minute to chat." I used ChatGPT to help write that one, so it might sound a little cringe, but you get the point. This saves a ton of time, because writing personalized follow-ups by hand and reading the entire context for each one eats your day.

Data tracking

The final automation is data tracking, and AI does it seamlessly and accurately. It tracks every lead that comes in, when it proposed the call, when it sent the calendar link, and when it booked the call, with the exact time and date. You can filter the CRM for specific data on specific dates, and you can run an automatic API tracking system connected to the CRM, which is what we use right now. From there the KPI tracker holds every metric we care about, so we can spot and analyze trends straight off the graphs. To see how this fits into a full booked-call system, AI appointment setting for coaches covers it.

The takeaway

More than 90% of appointment setters will be replaced because the repetitive work gets automated. The 10% who stay irreplaceable are the ones who grow quality control and data analysis, understand the full funnel, and use that knowledge to keep improving the AI. We've used this setup to build DM funnels for businesses doing $30,000 a month and businesses doing $200,000 a month. This is exactly where the whole industry is heading, which I lay out in the future of DM setting. Build your own, and let me know how it turns out. Cheers.

Frequently Asked Questions

Will AI replace appointment setters?

More than 90% of appointment setters will be replaced by AI in the next coming years, and you can see this happening today. I've worked with multiple coaches where we replaced teams of human DM setters with one DM setter and an AI model.

Which appointment setters won't be replaced by AI?

The 10% who grow the right skills. Some coaches I work with still have their old setters because we weren't able to replace them with AI. They do quality control and data analysis, which means they understand the full funnel, not just sending messages.

What is quality control for an appointment setter?

It means supervising the chats between the AI or human setters and suggesting improvements. The best way to grow the skill is to go into the DMs, have conversations with leads, and master the fundamentals of appointment setting so you can spot the errors AI makes.

What tasks should an appointment setter automate with AI?

Three things. Handling DMs A to Z, from the moment they opt in to getting them on a call. Sending personalized follow-ups based on the chat context. And data tracking, since AI can track leads, calendar links, and booked calls super accurately.
